Invoicing for Plumbers in the Netherlands: The Basics

Whether you are a self-employed plumber (ZZP loodgieter) or running a small plumbing firm, your invoices need to meet Dutch legal requirements. The Belastingdienst is not flexible on this - a missing BTW-id or no invoice number sequence can cause real problems during a tax check.

But beyond compliance, a well-structured plumber invoice template does something more valuable: it makes you look professional, reduces payment disputes, and gets money into your account faster.

The Dutch Legal Requirements for a Plumber Invoice

Every invoice you send as a plumber in the Netherlands must include:

Your details

  • Your full name or business name as registered with KVK
  • Your KVK number (8 digits, e.g. 12345678)
  • Your BTW-id (format: NL + 9 digits + B + 2 digits, e.g. NL123456789B01)
  • Business address and contact details

Client details

  • Client's name and address
  • If they are a business: their VAT/BTW number (required for B2B invoices)

Invoice specifics

  • A unique, sequential invoice number (2026-001, 2026-002 etc.)
  • Invoice date
  • Description of work: specific, not generic. "Leakage repair bathroom, replacement of flexi hose under washbasin, Keizersgracht 14, Amsterdam" is correct. "Plumbing work March" is not.
  • Itemised costs: labour and materials listed separately
  • BTW rate (21% on labour and most materials) and the calculated BTW amount
  • Total excluding BTW and total including BTW
  • Your IBAN and payment terms

BTW Rates for Plumbing Work

For most plumbing jobs, BTW is 21%. However, there is one important exception: renovation work on owner-occupied homes older than 2 years qualifies for the reduced 9% BTW rate on labour (not materials). This applies to work like replacing a boiler, repairing pipework, or fitting a new bathroom in an existing home.

Many plumbers miss this distinction and charge 21% on everything. That is fine - it is not illegal - but some clients will know the rules and push back. Knowing the rates and applying them correctly makes you look sharp.

If you are on the KOR (kleineondernemersregeling) and exempt from charging BTW, you must still note this on every invoice: state "BTW vrijgesteld op grond van artikel 25 Wet OB 1968."

Structuring Your Plumber Invoice Template

Here is a structure that works for most plumbing jobs:

Header: Your logo (optional but professional), your name, KVK, BTW-id, address

Bill to: Client name, address, client VAT number if applicable

Job details:

  • Date of work
  • Address where work was carried out
  • Invoice number and invoice date

Line items:

Getting Paid on Time

Dutch B2C clients (homeowners) usually pay promptly if given easy options: iDEAL, bank transfer with a clear reference, or card. For B2B clients (property managers, housing corporations), net 30 is standard but net 14 is perfectly acceptable and worth asking for.

Include a late payment clause on every invoice: "Bij te late betaling is 1% rente per maand verschuldigd en worden incassokosten in rekening gebracht conform de Wet Incassokosten." This is legally enforceable in the Netherlands and makes clients take your terms seriously.
